Integrations

System integration services that connect your business software

Our system integration services connect the software your business already pays for, so customer, order and financial data moves between tools without anyone copying it by hand. We work with US small and mid-sized businesses whose CRM, accounting, ecommerce and operations systems do not talk to each other. You get a fixed quote after a free review, and the integrations run in accounts you own.

Quick answer

What are system integration services?

System integration services connect separate business applications so they share data and trigger each other automatically. For example, a closed deal in the CRM creates a customer in accounting, or a shipped order updates the customer record. The goal is moving customer, order and financial data between tools without anyone copying it by hand.

  • Integrations connect directly through APIs or use ready-made connectors where they exist.
  • A one-way push is very different from a two-way sync of shared records.
  • Tools like n8n, Make and Zapier fit most small business integration volumes.
  • Integrations run in accounts you own, quoted at a fixed price after a free review.

01

What are system integration services?

System integration means making separate applications share data and trigger each other. When a deal closes in the CRM, the customer appears in accounting. When an order ships, the customer record updates. When a form is submitted, the right team sees it in the tool they already use.

Without integration, people fill the gap by exporting CSVs, retyping records and checking two screens at once. That work is slow and is where most data errors come from.

02

Signs you need to connect your business software

Most teams do not decide to integrate. They notice the symptoms first and then look for a fix.

  • Staff copy the same customer or order details into two or three systems
  • Monthly reports need someone to merge exports in a spreadsheet
  • Sales does not know an invoice is overdue, and finance does not know a deal changed
  • Inventory counts differ between your store, warehouse and accounting
  • A new tool was bought but never connected, so nobody trusts its data

WHAT WE BUILD

What we automate

Typical automations, each scoped and quoted at a fixed price after a free review.

01

Closed deal to invoice

When a deal is marked won in HubSpot or Salesforce, the customer and line items are created in QuickBooks Online or Xero and a draft invoice is prepared.

02

Ecommerce order sync

New Shopify orders are pushed to the fulfillment system and accounting, and tracking numbers flow back to the order and the customer.

03

Form to CRM and project tool

Website or Typeform submissions create a CRM contact, a project in Asana or ClickUp, and a Slack alert to the right owner.

04

Payment status to sales

Stripe or accounting payment events update the CRM record so account managers see paid, overdue or failed payments.

05

Inventory reconciliation

A scheduled job compares stock across the store, warehouse and ERP and flags differences above a set threshold.

06

Data warehouse feed

Nightly syncs load data from several systems into BigQuery or a SQL database so dashboards read from one clean source.

07

Integration error alerts

Any failed sync logs the record and error, retries where safe, and alerts a named person by email or Slack.

03

API integration services: how we connect systems

Our API integration services use the right method for each system rather than forcing one tool on every job. Where a platform has a good API, we connect directly. Where a ready-made connector exists, we use it to save time and cost.

For older systems without an API, we can work with scheduled file exports, database reads, email parsing, or robotic steps as a last resort. Every integration gets logging and error alerts so failures are visible, not silent.

  • Integration platforms: n8n, Make, Zapier, Power Automate
  • Custom code: Python services and serverless functions for heavy or complex logic
  • Webhooks for real-time events, scheduled syncs for bulk data
  • Data mapping and de-duplication rules agreed with you in writing

04

Application integration patterns we build

Application integration is not one thing. A simple one-way push is very different from a two-way sync between systems that both edit the same records, and we design each case for how your team actually works.

Before building, we decide which system is the source of truth for each field. That single decision prevents most of the duplicate and overwritten data that breaks integrations later.

  • One-way sync: CRM to accounting, ecommerce to fulfillment
  • Two-way sync with conflict rules for shared records
  • Event-driven workflows that update several systems from one trigger
  • Central data store or warehouse feeding dashboards
  • Integrations that include AI steps, such as classifying emails or reading documents

05

Integration platform vs custom integration

Tools like n8n, Make and Zapier are fast to build, easy to change, and fine for most small business volumes. They are usually our first choice.

Custom code makes sense when volumes are high, logic is complex, platform task pricing becomes expensive, or a system needs a connector that does not exist. We often mix both: a platform for routine flows and a small Python service for the hard parts. Self-hosted n8n is a good middle ground when you want control over data and cost.

06

Cost, timeline and getting started

We start with a free review where we map your systems, the data that should move between them, and how often. You then get a written scope and a fixed price.

A single integration between two systems typically takes 1-2 weeks. A larger program connecting several systems is delivered in stages over 3-8 weeks, starting with the connection that saves the most manual work. You keep ownership of every account, workflow and line of code.

FAQ

System Integration Services questions

What do system integration services cost?

We give a fixed quote after a free review. The price depends on how many systems are involved, whether the sync is one-way or two-way, and how clean the existing data is. Platform subscription costs, such as Zapier or Make, are billed separately.

Can you connect software that has no API?

Often, yes. We can use scheduled exports, database access, email parsing or robotic automation to move data. These methods need more monitoring, so we explain the tradeoffs before building.

Should I use Zapier, Make, n8n or custom code?

It depends on volume, complexity and budget. Zapier is quick for simple flows, Make and n8n handle more complex logic at lower cost, and custom code suits high volume or unusual systems. We recommend one based on your situation, not a default.

How do you stop integrations from creating duplicates?

We define a source of truth for each field and a matching rule, such as email or customer ID, before building. Each run checks for an existing record before creating a new one, and errors are logged for review.

What happens when an integration breaks?

Every integration we build includes error logging and alerts to a named person. Many failures are retried automatically, and the rest show exactly which record failed and why. Optional support covers fixes when a vendor changes its API.

Who owns the integrations?

You do. Workflows run in your accounts, and any custom code lives in your repository. We document each integration so another developer could maintain it.
