How to choose an AI automation agency

Start with your process, not the AI

Before you speak to any agency, write down the process you want to automate: who does it, how often, which tools are involved and what goes wrong. A good agency will ask about this first. If the first conversation is about which AI model they use, be careful.

Questions to ask

1. Can you show a similar project and its measured result?
2. Which tools will you use, and what will they cost me each month?
3. Is the price fixed, and what is out of scope?
4. Who owns the accounts, workflows and code when the project ends?
5. What happens when an automation fails, and how will I know?
6. Where does a person stay in the loop?

Red flags

• Guaranteed results before anyone has seen your process.
• Automations built in the agency's own accounts that you cannot take with you.
• No error alerts or monitoring.
• Pushing AI into steps that a simple rule handles better.
• Pricing that only covers the build, with large hidden monthly fees.

What a good proposal includes

A clear description of the current process and the future one, the tools and their running costs, a fixed price, a staged timeline, how errors are handled, and what training and documentation you get.
