AI automation agency for law firms

We build AI automation for law firms, mostly small and mid-size practices that want intake, document work and billing admin to take less attorney and staff time. We work inside the practice management tools you already use, such as Clio, MyCase, PracticePanther and Lawmatics, with confidentiality built into how every workflow handles client data.

Quick answer

How can AI automation help a law firm?

AI automation helps law firms by capturing and screening client intake, running conflict checks against existing contacts, and generating engagement letters that open matters in Clio or MyCase once signed. It can also draft routine documents from templates and summarize records with page references. Attorneys review flagged conflicts and every draft before anything goes out.

  • Intake from web, chat and phone flows into Lawmatics or Clio Grow with practice area screening
  • Possible conflict matches are flagged for an attorney before a consultation is booked
  • Record and transcript summaries include page references so attorneys can verify quickly
  • Billing follow-ups include LawPay links, missing time entry reminders and trust balance flags

01

Where small and mid-size law firms lose time

Most small firms run on a few attorneys, a paralegal or two and an office manager. Billable hours go up when non-billable work goes down, and a lot of that non-billable work is moving information between web forms, email, the practice management system and Word templates. Potential clients who call after hours or wait a day for a callback often hire another firm.

The time sinks we hear about most are:

  • Client intake: answering calls and web inquiries, screening practice area fit, and booking consultations
  • Conflict checks against current and former clients and adverse parties
  • Engagement letters, fee agreements and e-signature follow-up
  • Document assembly for routine pleadings, demand letters, estate plans and closing documents
  • Collecting client documents and chasing missing items
  • Time entry reminders, pre-bills, invoice follow-up and trust accounting reconciliation

02

Law firm automation we build

Law firm automation connects your intake channels to your practice management system and your document templates. A web inquiry can become a lead in Lawmatics or Clio Grow, trigger a conflict check, and send a booking link only if no conflict is found. After the consultation, the engagement letter can be generated from the intake data and sent for e-signature, and the matter opened in Clio or MyCase when it comes back signed.

We also automate the work between matter steps: document request lists for clients, deadline reminders, status updates, and invoice reminders for overdue accounts. Each workflow is mapped to how your firm already practices, whether that is personal injury, family law, estate planning, immigration or business law.

WHAT WE BUILD

What we automate for law firms

Typical automations, each scoped and quoted at a fixed price after a free review.

01

Intake and consultation booking

Web, chat and phone inquiries are captured into Lawmatics or Clio Grow, screened for practice area and jurisdiction, and offered a consultation time.

02

Automated conflict check

New prospective client and adverse party names are checked against your practice management contacts, and possible matches are flagged for an attorney before booking.

03

Engagement letter and matter opening

After the consult, an engagement letter is generated from intake data, sent through DocuSign, and the matter is opened in Clio or MyCase once signed.

04

Client document collection

Clients get a secure checklist of documents to upload, with automatic reminders for missing items and a status view for the paralegal.

05

Document assembly drafts

Routine letters, pleadings and estate planning documents are drafted from matter data and your templates for attorney review.

06

Record and transcript summaries

Medical records, deposition transcripts and long contracts are summarized with page references so attorneys can verify quickly.

07

Billing and collections follow-up

Missing time entries trigger reminders, and overdue invoices get polite follow-ups with a LawPay link, with trust balances flagged for review.

03

AI agents for law firms

An AI intake agent can answer web chat or phone inquiries, collect the facts your intake staff ask for, check that the matter fits your practice areas and jurisdiction, and book a consultation. It does not give legal advice, it says so clearly, and it hands off to staff when a caller needs a person.

Inside the firm, AI agents can summarize medical records or deposition transcripts, pull key dates and parties from contracts, draft first versions of routine letters from your templates, and search your own past work product. Attorneys review everything before it goes out. AI drafts are a starting point, not a final product, and every citation must be checked.

Confidentiality comes first. Your state bar's rules on confidentiality, competence and supervision apply to AI tools the same as to any vendor. We use AI services with business terms that do not train on your data, keep client data inside accounts the firm controls, limit access by role, and log what the automation touches. Your ethics counsel or bar guidance should confirm the setup fits your jurisdiction. This is practical guidance, not legal advice.

04

Legal practice management tools we connect

We work with Clio Manage and Clio Grow, MyCase, PracticePanther, Smokeball, Filevine, CosmoLex and Lawmatics, along with document tools like NetDocuments, iManage, Microsoft 365 and Google Workspace. For e-signature we connect DocuSign or Adobe Acrobat Sign, and for payments LawPay. Calendaring and booking usually run through Outlook, Google Calendar or Calendly.

The workflows themselves run on n8n (often self-hosted for tighter data control), Zapier, Make or custom Python. Dashboards for intake conversion, realization and collections are built in Power BI or Looker Studio.

05

How a law firm automation project works

We begin with a free, confidential review. We walk through how a new inquiry becomes a signed client and how a matter moves to close, without needing access to privileged files. You get a ranked list of automations and a fixed quote for the first stage.

We build and test with dummy matters first, then with real ones under your supervision. Each stage goes live only after the responsible attorney signs off, and we document what each workflow does and what data it touches, which also helps with your own supervision duties. You own all accounts and code.

06

What law firm automation costs

Every project is a fixed price after the free review. A focused intake or engagement letter workflow typically takes 1-3 weeks. A broader build with an AI intake agent, document assembly and a billing dashboard typically takes 4-8 weeks in stages.

Ongoing costs are your software subscriptions plus automation hosting and AI usage, billed to the firm's accounts. Support after launch is quoted separately if you want it.

FAQ

AI automation for Law Firms questions

How can law firms use AI automation?

Common uses are client intake, conflict checks, engagement letters, document collection, first drafts of routine documents, summaries of records and transcripts, and billing follow-up. Attorneys review anything that goes to a client or court.

Is it ethical for lawyers to use AI tools?

Many bar associations have issued guidance that allows AI use when lawyers protect confidentiality, understand the tool, supervise its output and are honest with clients about fees. Rules vary by state, so check your bar's guidance or ethics counsel. We design workflows to support those duties.

Can you automate Clio?

Yes. Clio has an open API, so we can create contacts and matters, add tasks and calendar entries, upload documents and read billing data. We do the same with MyCase, PracticePanther and other platforms that offer API access.

Is client data safe with AI automation?

We use AI services with business terms that do not train on your data, keep data in accounts the firm owns, limit access by role and log activity. For firms that want more control, we can self-host n8n and keep processing inside your own cloud.

Can an AI answer calls for a law firm?

An AI intake agent can answer, collect basic facts, screen for fit and book consultations. It states that it cannot give legal advice and transfers to staff when needed. It does not form an attorney-client relationship.

How long does a law firm automation project take?

A single workflow like intake or engagement letters typically takes 1-3 weeks. A broader build with AI intake and document assembly typically takes 4-8 weeks, delivered in stages.
