Marine and shipping
AI automation agency for marine and shipping companies
We build maritime automation for shipowners, ship managers, ship chandlers, ports and marine service companies whose shore teams spend hours moving data between vessel emails, spreadsheets and fleet systems. Noon reports, crew changes, compliance records and charter documents can flow into the systems you already run, with people reviewing the decisions that matter.

Quick answer
How can AI automation help a shipping or ship management company?
AI automation helps shipowners and ship managers by reading noon, arrival and bunker reports from vessel emails into voyage systems, compiling fuel data for IMO DCS and EU MRV, and tracking crew certificates and expiries. It can also parse statements of facts for laytime and draft chandler quotes, with people approving anything sent externally.
- Noon and bunker reports in any template can be read and posted as drafts
- Emissions data for IMO DCS, EU MRV and CII is compiled with source reports attached
- Crew certificates, medicals and visas are tracked with alerts before they expire
- Projects get a fixed quote after a free review and typically take 1 to 8 weeks
01
Where shore teams lose time in ship management
A fleet produces a steady stream of reports, certificates and messages, and most of it still arrives by email from the vessel or from agents in port. Superintendents, operators and crewing teams end up as data clerks between the ship, the charterer and the office.
These are the time sinks we hear about most often from technical managers, commercial operators and marine service companies:
- Noon, arrival, departure and bunker reports arriving in different templates, retyped into the voyage system and fuel spreadsheets
- IMO DCS, EU MRV, CII and EU ETS emissions data assembled by hand at period end
- Crew changes: contracts, travel, visas, medicals and STCW certificate expiry tracked across several sheets
- Statements of facts, notices of readiness and port call documents collected for laytime and demurrage claims
- Charter party recaps, voyage instructions and fixture notes reworked line by line
- Chandler RFQs on ShipServ or by email quoted manually against IMPA codes and supplier price lists

What we automate for shipowners, ship managers and chandlers
For technical and crew managers, the work is usually reporting and records: noon report intake, fuel and emissions data, planned maintenance follow-ups in AMOS or ShipManager, and a single view of crew documents, rotations and expiries. For commercial teams, it is voyage data, laytime calculations, invoices to charterers and the paperwork behind each fixture.
For ship chandlers and marine service companies, the focus is speed of quotation and delivery. RFQs can be read and matched to IMPA codes and your price book, quotes drafted for a person to send, and delivery notes and invoices produced from the same order record. Ports, terminals and tug or launch operators often start with job tickets, vessel call scheduling and billing from Helm CONNECT or the terminal operating system.
WHAT WE BUILD
What we automate for marine & shipping
Typical automations, each scoped and quoted at a fixed price after a free review.
Noon report intake
Noon, arrival, departure and bunker reports from vessel emails are read by an AI step, checked against the prior report, and posted as drafts to your voyage system or fuel log.
Emissions data preparation
Fuel consumption and distance data is compiled per vessel and period into IMO DCS, EU MRV and CII working files with source reports attached for verifier review.
Crew document tracking
STCW certificates, medicals, passports and visas are tracked per seafarer, with alerts to crewing before expiry and a draft crew change checklist for each rotation.
Laytime and SOF processing
Statements of facts and NORs from agents are parsed into time events, and a draft laytime calculation is prepared against the charter party terms for the operator to check.
Charter party and recap comparison
A new recap or charter party is compared with your standard GENCON or NYPE riders, and differing clauses are highlighted for the chartering team.
Chandler RFQ quoting
RFQs from ShipServ or email are matched to IMPA codes and your price list, and a draft quote is prepared in your ERP for a salesperson to review and send.
Certificate and survey reminders
Class, flag and statutory certificate dates are pulled into one calendar, with reminders to the superintendent and a monthly expiry report by vessel.
03
AI agents for voyage reporting and chartering documents
AI is most useful where maritime data arrives as free text or PDFs. A model can read a noon report email from the master, pull position, speed, distance, ROB fuel by grade and consumption, check the figures against the previous report for obvious errors, and post a draft into your voyage system for the operator to confirm.
The same approach applies to statements of facts and NORs for laytime, to charter party clauses and recaps for a quick comparison against your standard terms, and to class and flag survey reports for upcoming items. AI agents can also answer internal questions such as which vessels have certificates expiring this quarter, using your own records. Commercial judgment, claims and anything sent to a charterer or authority stay with your team.
04
Compliance, class and enterprise IT constraints
Shipping runs under a dense set of rules: SOLAS, MARPOL Annex VI, the ISM and ISPS Codes, STCW and MLC for crew, and class society requirements from DNV, ABS, Lloyd's Register and others. Automations should support your SMS procedures and keep a clear audit trail, not replace the people who sign off. We do not give compliance advice and do not claim our work makes you compliant.
For larger fleets, we work inside your IT rules: SSO and role-based access, vendor security reviews, change control for production workflows and limited vessel bandwidth. Emissions figures prepared for IMO DCS, EU MRV or verifiers are produced as drafts with source data attached, for review before submission.
05
Maritime software we connect
On the commercial side we work around Veson IMOS, Danaos and spreadsheets that many operators still rely on, plus Q88 vessel particulars and AIS data from providers such as MarineTraffic or Spire. On the technical side, common systems include SpecTec AMOS, DNV ShipManager, BASS and Star IPS for maintenance, procurement and crewing.
Chandlers and suppliers often use ShipServ alongside an ERP such as NetSuite or Microsoft Dynamics. We connect these with Microsoft 365 or Google Workspace inboxes, SharePoint document libraries and dashboards in Power BI for fleet fuel, off-hire, crew expiries and port costs. Integration methods depend on what each vendor and your licence allow: APIs, file exports, email parsing or database access.
06
How a maritime automation project works
We start with a free review. Your operations, technical or crewing lead walks us through a normal week, the report templates vessels send and the systems involved, and we check what those systems expose. You receive a fixed-price quote, a timeline and a first stage that can run on a few vessels before rolling out fleet-wide.
Each stage is tested against real reports, with a person approving output until accuracy is proven. You own all accounts, workflows and code.
07
What shipping automation costs and how long it takes
Every project gets a fixed quote after the free review, based on the number of workflows, the systems involved and how varied your vessel and agent documents are. We do not charge by the hour once a scope is agreed.
A focused workflow, such as noon report intake or chandler RFQ quoting, typically takes 1 to 3 weeks. Fleet-wide reporting with emissions data, crew records and a management dashboard typically takes 4 to 8 weeks, shipped in stages.

FAQ
AI automation for Marine & Shipping questions
Can AI read noon reports from vessels automatically?
Yes. AI document processing can extract position, speed, distance and fuel figures from noon report emails even when vessels use different templates. Values are checked against the previous report and an operator confirms the draft before it is saved.
How can ship managers automate IMO DCS and EU MRV reporting?
Fuel and voyage data from noon and bunker reports can be compiled per vessel and reporting period into working files with the source data attached. Your team and verifier still review and submit the figures. We do not give regulatory advice on what to report.
Does automation work with Veson IMOS or AMOS?
Often, though the method depends on your version and licence. Some modules offer APIs, others work through imports, exports or email. We confirm what is possible during the free review before quoting.
Can a ship chandler automate RFQ quoting?
Yes. RFQs from ShipServ or email can be read, matched to IMPA codes and your price list, and turned into draft quotes. A salesperson reviews pricing and availability before the quote goes out.
Is it safe to automate crew and vessel data?
It can be, with the right design. We use role-based access, keep data in your own accounts, document every data flow for your IT and security review, and keep a person in the loop for decisions on crew and compliance.
How much does maritime automation cost?
We give a fixed quote after a free review. A single workflow typically takes 1 to 3 weeks and a fleet-wide reporting project typically takes 4 to 8 weeks, delivered in stages.
