AI automation agency for real estate
We build AI automation for real estate brokerages and agent teams that want faster speed-to-lead, cleaner CRMs and less transaction admin. We connect the tools you already pay for, like Follow Up Boss, kvCORE, Lofty, Dotloop and SkySlope, so leads get answered, files get checked and agents spend more time with clients.

Quick answer
What can a real estate team automate with AI?
A real estate team can automate after-hours speed-to-lead on Zillow, Realtor.com and IDX inquiries, lead routing in Follow Up Boss or kvCORE, and contract date extraction from Dotloop or SkySlope into transaction coordinator checklists. AI can also nurture long-term buyers, flag missing disclosures before broker review, and draft MLS descriptions for new listings.
- Most teams have a response and follow-through problem rather than a lead problem
- Leads are scored by source, price range and area, with timed reassignment if agents miss them
- Signed purchase agreements become contingency and closing date checklists with reminders
- Compliance checks flag missing disclosures and unsigned pages before a file reaches the broker
01
Where brokerages and agent teams lose the most time
Most teams do not have a lead problem. They have a response and follow-through problem. A Zillow Premier Agent inquiry comes in at 9:40 pm, the agent on rotation is at a showing, and by morning the buyer has already talked to two other agents. Meanwhile the team lead is chasing ISAs to log calls, and the transaction coordinator is retyping contract dates from a PDF into a checklist.
The same handful of tasks eat the week across almost every brokerage we talk to:
- Speed-to-lead on Zillow, Realtor.com, Homes.com and website IDX inquiries, especially after hours
- Lead routing and round-robin rules that live in someone's head instead of the CRM
- Long-term nurture for buyers who are 6-18 months out and never get a second call
- Transaction coordination: contract-to-close deadlines, missing signatures, compliance file review
- Listing launch tasks: MLS input, photography scheduling, social posts, open house sign-ups
- Weekly production reports, GCI tracking and agent accountability built by hand in spreadsheets

Real estate automation we build
Real estate automation works best when it sits on top of your CRM and transaction platform, not beside them. We read the lead source, apply your routing rules, write to Follow Up Boss or kvCORE, and push tasks to the right agent or TC. When a contract is uploaded to Dotloop or SkySlope, we can extract the key dates and build the closing timeline automatically.
We keep agents in the loop. Automations draft, remind and flag; your people make the calls that need judgment, like pricing conversations, offers and negotiation.
WHAT WE BUILD
What we automate for real estate
Typical automations, each scoped and quoted at a fixed price after a free review.
After-hours speed-to-lead
When a Zillow, Realtor.com or IDX inquiry hits the CRM, an AI assistant texts and emails within a minute, asks qualifying questions and books a call on the agent's calendar.
Lead routing and round robin
New leads are scored by source, price range and area, then assigned in Follow Up Boss or kvCORE with a timed reassign if the agent does not respond.
Long-term nurture
Leads tagged as 6+ months out get personalized market updates and check-ins, with replies summarized back into the CRM for the agent.
Contract date extraction
When a signed purchase agreement lands in Dotloop or SkySlope, key contingency and closing dates are pulled out and turned into a TC checklist with reminders.
Compliance file check
Before a file goes to the broker for review, an AI check flags missing disclosures, unsigned pages and documents that do not match the brokerage checklist.
Listing launch workflow
A new listing kicks off photographer booking, a draft MLS description, social post drafts and an open house sign-up form.
Agent production dashboard
Pipeline, appointments, pending deals and GCI by agent are pulled from the CRM into a Looker Studio or Power BI dashboard that refreshes daily.
03
AI agents for real estate teams
An AI agent for real estate can answer a new inquiry by text or email within a minute, ask the qualifying questions your ISAs ask (timeline, pre-approval, area, price range, whether they already have an agent) and book a call or showing into the agent's calendar. It writes a summary into the CRM so the agent opens the lead already knowing the story.
AI agents also help on the back office side. A document agent can read a purchase agreement, pull the inspection, appraisal and financing contingency dates, and compare them to the checklist your broker of record requires. A listing assistant can turn agent notes and photos into a first-draft MLS description that the agent edits before publishing.
Fair housing matters here. We write prompts and guardrails so AI replies stick to property facts and process, and never steer buyers based on protected characteristics. We also respect TCPA and carrier rules for texting: messages go only to people who opted in, with clear opt-out handling. This is practical guidance, not legal advice, and your broker should sign off on scripts.
04
Real estate CRM and tools we connect
We work with the CRM and transaction stack your team already uses rather than asking you to switch. Typical connections include Follow Up Boss, kvCORE (BoldTrail), Lofty, Sierra Interactive, Real Geeks, Dotloop, SkySlope, Brokermint, Google Workspace and Microsoft 365. Lead sources such as Zillow, Realtor.com and Facebook lead ads come in through their native integrations or email parsing.
Under the hood we use n8n, Zapier or Make for the workflows, custom Python where an API needs more care, and Looker Studio or Power BI for production dashboards. You own every account and every line of code.
05
How a real estate automation project works
We start with a free review. You walk us through how a lead moves from first inquiry to closed deal, and how a file moves from accepted offer to funded. We map where it stalls and pick the two or three automations that would save the most hours or recover the most lost leads.
Then we build in stages. Stage one is usually speed-to-lead and routing, because it touches revenue first. Later stages cover nurture, transaction coordination and reporting. Each stage is tested with real (or anonymized) leads and files before it goes live, and your agents get a short walkthrough.
06
What real estate automation costs
Every project gets a fixed price after the free review, so you know the number before any work starts. There are no hourly surprises. Simple projects, like after-hours lead response into Follow Up Boss, typically take 1-2 weeks. A full setup with AI lead qualification, TC automation and a brokerage dashboard typically runs 4-8 weeks.
Ongoing costs are your own software subscriptions (for example n8n hosting or Zapier, plus AI model usage), billed to your accounts. If you want us to maintain and extend the system afterward, we quote that separately.

FAQ
AI automation for Real Estate questions
How can AI help real estate agents?
AI can respond to new inquiries quickly, qualify leads with the same questions your ISAs ask, write CRM notes and draft listing descriptions. On the transaction side it can read contracts, pull deadlines and flag missing documents. Agents still handle pricing, showings and negotiation.
Does real estate automation work with Follow Up Boss?
Yes. Follow Up Boss has an open API and webhooks, so we can create and update leads, assign agents, add notes, trigger action plans and log texts. We do the same with kvCORE, Lofty and other CRMs that offer API access.
Can an AI assistant answer Zillow leads?
It can respond to Zillow inquiries once they reach your CRM or inbox, by text or email, and book a call or showing. It works within Zillow's rules and your own scripts, and hands the conversation to an agent when the buyer is ready or asks something that needs a person.
Is texting leads with AI allowed under TCPA?
Texting is generally allowed when the person has given proper consent and opt-outs are honored. We build consent checks and STOP handling into every SMS flow. Rules change and vary by state, so have your broker or attorney approve your scripts and consent language.
Can you automate transaction coordination?
Yes, the repetitive parts. We can extract dates from contracts, build checklists, send reminders to buyers, sellers, lenders and title, and check files for missing items before compliance review. Your TC stays in control of the file.
How long does a real estate automation project take?
Small projects such as lead response or routing typically take 1-2 weeks. Larger builds with AI qualification, TC automation and dashboards typically take 4-8 weeks, delivered in stages so you see results early.
