Construction
AI automation agency for construction
We build AI automation for construction companies, from general contractors running several jobs to specialty contractors in electrical, mechanical, concrete and drywall. The goal is less office and field paperwork: RFIs, submittals, daily logs, subcontractor compliance and pay applications move faster, and project managers get their evenings back.

Quick answer
How can AI automation help a construction company?
AI automation helps construction companies by checking subcontractor certificates of insurance, logging RFIs and submittals in Procore, and turning superintendent voice notes into daily logs. It can also draft G702/G703 pay applications, track lien waivers and level subcontractor bids. Job cost data from Sage 300 CRE or QuickBooks Online can feed a daily Power BI dashboard.
- Most lost time comes from copying emails, PDFs and photos into Procore, Buildertrend or the ERP
- COI checks verify limits and additional insured status, then remind subs before expiration
- Bid leveling places subcontractor quotes side by side and highlights scope gaps and exclusions
- Job cost dashboards show committed costs, actuals and budget by cost code, updated daily

Where construction teams lose time
Construction margins live and die on information moving fast. A PM waiting on a submittal approval, a superintendent typing the daily log at 8 pm, or an accounting team chasing lien waivers before a draw all slow the job down. Most of that work is copying information from one place (an email, a PDF, a photo, a spreadsheet) into another (Procore, Buildertrend, the ERP).
The time sinks we see most on GC and subcontractor teams are:
- RFI and submittal logs that are updated by hand from email threads
- Subcontractor compliance: certificates of insurance, additional insured endorsements, licenses and W-9s
- Daily logs, field reports and photo documentation
- Pay applications (AIA G702/G703), change orders and lien waiver collection
- Bid invitations and bid leveling across subcontractor quotes
- Job cost reports that are always a week behind the field

Construction automation we build
Construction automation connects your project management platform with accounting and the email and spreadsheets in between. When a sub emails an updated COI, an automation can read it, check limits and endorsements against your requirements, and update the vendor record. When an RFI response arrives, it can be logged in Procore against the right RFI number with the answer and attachments.
We build around how your company actually runs jobs. A residential builder on Buildertrend has different needs from a commercial GC on Procore with Sage 300 CRE behind it, and a specialty contractor tracking labor hours in the field has different needs again.
WHAT WE BUILD
What we automate for construction
Typical automations, each scoped and quoted at a fixed price after a free review.
Subcontractor COI compliance
Incoming certificates of insurance are read, limits and additional insured status are checked against your requirements, and expirations trigger reminders to the sub and the PM.
RFI and submittal logging
Emails with RFI responses or submittal returns are matched to the right item in Procore or your log, with status, dates and attachments updated.
Voice-to-daily-log
A superintendent records a short voice note and AI turns it into a structured daily log with manpower, work completed, delays and safety notes.
Pay app and lien waiver prep
Schedule of values progress is pulled into a G702/G703 draft, and conditional and unconditional lien waivers are requested and tracked by sub.
Bid leveling
Subcontractor quotes in PDF or email are read and placed side by side in a leveling sheet, with scope gaps, exclusions and alternates highlighted.
Change order tracking
Potential change orders are logged from field notes and emails, priced from your rates, and routed for approval with status visible to the PM.
Job cost dashboard
Committed costs, actuals and budget by cost code are pulled from your accounting system into a Power BI dashboard that updates daily.
03
AI agents in construction
AI agents are useful in construction where there is a lot of unstructured text and documents. A spec and drawing assistant can search project specs and answer questions like "What is the required fire rating for this corridor wall?" with the section reference, so the PM can confirm it quickly. A submittal agent can compare a product data sheet against the spec section and flag mismatches before the package goes to the architect.
In the field, a superintendent can dictate notes into a phone at the end of the day and an AI agent turns them into a structured daily log: weather, manpower by trade, work completed, deliveries, delays and safety notes. On bids, an AI agent can read subcontractor quotes in different formats and line them up in a leveling sheet with inclusions and exclusions called out.
These agents assist; they do not sign off. Engineering judgment, contract decisions and safety calls stay with licensed and responsible people on your team.

Construction software we connect
We work with Procore, Buildertrend, CoConstruct (now part of Buildertrend), Autodesk Construction Cloud, Fieldwire and CompanyCam on the project side, and with Sage 300 CRE, Sage Intacct, Foundation Software, Viewpoint Vista and QuickBooks Online on the accounting side. Estimating and takeoff tools like STACK or PlanSwift can feed bid workflows through exports.
Workflows run on n8n, Zapier, Make or custom Python. For job cost and WIP visibility we build Power BI or Looker Studio dashboards, and for field forms that your PM platform does not cover we build AppSheet or Power Apps apps that work on a phone.
05
How a construction automation project works
We begin with a free review of one or two active jobs. We follow an RFI, a submittal, a change order and a pay app from start to finish and note every manual handoff. From that we recommend where to start, usually subcontractor compliance or document logging, because they are repetitive and low risk.
We then build in stages, test on a live job with your PM, and adjust before rolling out company-wide. You own the automation accounts, the code and the data, and we document each workflow so your team can see what it does.
06
What construction automation costs
You get a fixed price after the free review, not an hourly estimate. A focused workflow such as COI tracking or RFI logging typically takes 1-3 weeks. A broader build covering daily logs, pay app prep and a job cost dashboard typically takes 4-8 weeks, delivered in stages.
Running costs are your software subscriptions plus automation hosting and AI usage, billed to your own accounts. We quote any ongoing support separately so it is clear what you are paying for.

FAQ
AI automation for Construction questions
How is AI used in construction?
In the office, AI is mostly used to read and organize documents: COIs, submittals, RFIs, quotes and contracts. In the field it can turn voice notes and photos into daily logs and punch lists. It helps people move faster, while decisions stay with your PMs, supers and engineers.
Can you automate Procore?
Yes. Procore has a well documented API, so we can create and update RFIs, submittals, daily logs, observations and documents, and pull data for reporting. We set up the connection under your company's Procore account.
Does construction automation work for specialty contractors?
Yes. Specialty contractors often benefit most from field time tracking, COI and compliance paperwork, change order logging and pay app prep. We build around the GC portals and accounting system you already use.
Can AI track subcontractor insurance certificates?
It can read certificates of insurance, pull limits, carriers, policy dates and additional insured details, and compare them to your requirements. It flags gaps and sends reminders before expiration. Your risk manager or broker still reviews anything unusual.
We use Buildertrend for residential builds. Can you help?
Yes. We commonly automate lead intake, selections reminders, schedule notifications to subs and clients, and daily log prep around Buildertrend, using its integrations and email workflows.
How long does a construction automation project take?
Single workflows typically take 1-3 weeks. Multi-part builds with dashboards typically take 4-8 weeks, and we test each stage on a live job before rolling out.
